"Soft Systems Methodology" (SSM) by Peter Checkland and Jim Scholes (and Checkland alone in earlier editions) is a seminal work in systems thinking and organizational problem-solving. It offers a structured approach for dealing with complex, "messy" problems where human activity and subjective perspectives are central. Here's a synopsis:
The Problem with "Hard" Systems Thinking:
Traditional systems approaches, often called "hard" systems thinking, assume that problems can be clearly defined and solved through technical analysis and optimization. Checkland argues that this approach is often inadequate for dealing with real-world problems involving human activity systems, where goals are often ambiguous, perspectives are diverse, and the situation is constantly changing.
Introducing Soft Systems Methodology (SSM):
SSM is a "soft" approach that acknowledges the subjective nature of human perception and the importance of understanding different viewpoints. It provides a framework for exploring complex situations, facilitating dialogue, and developing solutions that are meaningful and acceptable to the stakeholders involved.
The Seven Stages of SSM:
SSM typically involves seven stages (though these are not always strictly linear):
Finding out about the Problem Situation (Unstructured): This involves immersing oneself in the problem situation, gathering information, and developing a rich picture of the context. It's deliberately unstructured to avoid premature framing of the problem.
Expressing the Problem Situation (Structured): The rich picture is used to create a more structured description of the problem, highlighting key issues and relationships.
Formulating Root Definitions: Root definitions are concise descriptions of ideal systems relevant to the problem situation. They are expressed from different perspectives and focus on the core purpose of the system. They use the CATWOE mnemonic:
Customers: Who are the beneficiaries or victims of the system?
Actors: Who are involved in carrying out the activities of the system?
Transformation process: What is being transformed by the system?
Worldview: What is the broad philosophy or perspective that justifies the system?
Owner: Who has the power to change the system?
Environmental constraints: What are the external factors that affect the system?
Building Conceptual Models: Conceptual models are diagrams that represent the activities described in the root definitions. They show the logical relationships between the activities.
Comparing Conceptual Models with the Real World: The conceptual models are compared with the real-world situation to identify differences and areas for further investigation.
Defining Feasible and Desirable Changes: Based on the comparison, potential changes are identified and evaluated for feasibility and desirability. This stage involves negotiation and consensus-building among stakeholders.
Taking Action to Improve the Situation: Finally, actions are taken to implement the agreed-upon changes.
